Why was the Midyear meeting moved to a virtual meeting?
ASHP is working diligently to ensure that our members and all healthcare providers have the most up-to-date, credible, and trusted information available to combat the COVID-19 pandemic. As public health safety measures related to COVID-19 continue to extend, ASHP has made the decision to convert our live Midyear Clinical Meeting and Exhibition in New Orleans that was scheduled for December 6-10, 2020, to a virtual meeting over the same dates.
We know that the Midyear meeting is an essential event for our members, exhibitors, and other meeting participants. However, the safety of our meeting participants will always be our first priority. During this unprecedented time, we are committed to supporting you and your colleagues as you care for your patients.
Where and when is the 2020 ASHP Midyear Clinical Meeting and Exhibition being held?
The Midyear meeting will be held virtually, Sunday, December 6 – Thursday, December 10, 2020.
What time zone is the Midyear meeting being held?
All meeting sessions and events will take place in Eastern Time (ET).

Can I use my cell phone to participate in the virtual Midyear meeting?
For the best overall experience, we strongly encourage registrants to participate in the meeting on a desktop or laptop computer using Chrome or Firefox as the browser. Several key features of the virtual meeting platform environment are not supported on mobile devices.

How do I obtain a certificate of attendance at the virtual Midyear meeting?

Will I be able to obtain virtual ribbons?
In this virtual environment, attendee ribbons will not be available. Please make sure to visit the Badge Center, under the Unwind & Play area of the virtual platform, to earn virtual badges and a chance to win prizes!

When will I be able to access the virtual Midyear meeting?
Attendees and exhibitors will be able to access the meeting platform beginning Sunday, December 6 at 7:00 a.m. Eastern Time (ET). Click here to access the virtual meeting platform.
When will I receive instructions for attending the virtual Midyear meeting?
Registered attendees will receive a final “Need to Know” email communication from ASHP, sent to the email address used to register for the meeting, several days in advance of the meeting with detailed instructions on how to access the virtual meeting platform, navigate all meeting activities, and maximize your experience. The login information required is unique to each individual registrant and can only be used by the registrant.
Can I attend the meeting on multiple devices?
For security reasons, your virtual Midyear meeting credentials only permit one login per user. You will not be able to access the meeting using multiple devices at the same time.
What will I need to attend virtually?
Registrants will need a computer, updated browser (Chrome or Firefox), strong internet connection, and audio (functioning sound card with attached speakers installed or headphones). A video camera, while optional, will enhance the ability of participants to interact with others in 1:1 video chats and take full advantage of the networking opportunities.
A download of the platform is not required, it is viewable in a webpage, and Chrome or Firefox browsers provide the best experience. Take a moment to test your system in advance.

Can I access the virtual Midyear meeting after the official meeting dates?
Yes! The majority of the content will be available through March 10, 2021. For more information on CE information, visit the Education and CE section of the FAQs.
How can I save or favorite a session from the virtual Midyear Meeting schedule?
Once the virtual meeting platform is available, registered attendees can login and favorite the sessions they are interested in and add them to My Agenda. My Agenda can be found under the Programming top navigation tab on the virtual meeting platform.
To help attendees start planning, a printable detailed schedule-at-a-glance is available now and can be found on the Midyear meeting website’s Session Schedule area.
How do I participate in the networking roundtable sessions?
Roundtable sessions scheduled during the meeting will be listed under the Programming tab, under All Sessions section as well as, by day. Roundtable sessions will be held live via Zoom. Sessions will only be accessible through the meeting platform to registered attendees and will not be recorded.
How do I register for the Midyear meeting?

When is the last day I can register for the virtual Midyear meeting?
The last day to register for the meeting is Thursday, December 10.
Can I register for only one day of the virtual Midyear meeting?
Only full registration options will be available for the virtual Midyear meeting.
What is included in my virtual Midyear meeting registration?
The full registration fee includes access to all educational programming, plenary sessions, virtual exhibits, Residency Showcase, posters, networking, and gamification.
What is the virtual Midyear refund policy?
All meeting cancellations are subject to a $75 handling charge. No refunds will be issued after December 2, 2020 (postmark or fax date).
Can I share my registration with others?
Your registration entitles you to individual personal use access to the specified ASHP meeting or event for which you have registered. By registering for an ASHP meeting or event, you agree not to sell, trade, transfer, or share your individual personal use registration access link and/or code unless such transfer is granted by ASHP.

How can pharmacy technicians obtain CE during the 2020 Midyear meeting?
The Midyear meeting will offer almost 60 sessions that award pharmacy technician CE credit. We ask the pharmacy technician members to please look for sessions that have that “T” designation in order to gain approved pharmacy technician CE credit.
How will educational sessions be delivered during the meeting?
Select education sessions will be offered as a live activity with the opportunity to participate in faculty Q & A and virtual group discussions. These sessions will be offered throughout the meeting and details and a schedule can be found in the Schedule Planner. Other sessions will be offered as online home study with continuing education credit until March 01, 2021. All education sessions will be recorded. Registrants can earn about 175 contact hours through a combination of live and home-study programs.
NOTE: Live sessions will play at their scheduled date and time. Home Study sessions are listed at Sunday 7:00 a.m. ET, and available on-demand until March 10, 2021.
After participating in the educational activities of this meeting, attendees can process and claim their CE credit through ASHP eLearning at elearning.ashp.org. Attendees claiming their CE online will be able to view their CE statements immediately.
Please note: Learners who claimed credit for the live activities, should not claim credit for the home study activities.
For Live CE credit, all attendees must complete an evaluation and claim their live CE by February 1, 2021. Sessions available for Live CE can be identified by the “L” in the ACPE UAN number. Example: 0204-0000-20-246-L04-P
For Home Study CE credit, all attendees must complete an evaluation and claim their home study CE by March 1, 2021. Sessions available for Home Study CE can be identified by the “H” in the ACPE UAN number. Example: 0204-0000-20-246-H04-P
NOTE: To ensure your credit hours have been transferred to CPE Monitor, verify the accuracy of your CPE Monitor profile prior to Live CE or Home Study CE deadlines. After these deadlines, ASHP is unable to transfer your CE credit hours to CPE Monitor.
- NABP’s CPE Monitor, to process CE, pharmacists and pharmacy technicians must enter an NABP e-Profile ID, birth month, and date in ASHP eLearning. After you have entered this information, it is saved for future CE processing. You may obtain your e-Profile ID at nabp.pharmacy.
- Florida Department of Health Continuing Education Credits, Florida-licensed pharmacists must self-report their meeting continuing pharmacy education credit hours to CE Broker. ASHP is not offering Florida Consultant Pharmacy CE at this meeting.
Will commercially-supported symposia and promotional theaters be conducted at the virtual meeting?
Yes, these programs will still be conducted at the virtual Midyear meeting. A complete schedule and guidelines is available and will be continually updated on the Midyear meeting website.
Will there be a virtual exhibit program?
Yes, the virtual Midyear meeting will showcase a virtual exhibit program.
What is a virtual exhibit booth?
A virtual exhibit booth is a branded space within the virtual Exhibit Hall. Booths will contain assets such as videos, product demos, case studies, links to social sites or external sites, and whitepapers. Additionally, some booths may offer virtual swag, games, or raffles. When visiting a booth, attendees may also engage in live private text or video chats with booth personnel staffing the booth during the dedicated open hours.

If we elect not to exhibit in the virtual format, will our company be eligible for a full refund?
Yes, exhibitors will be eligible for a full refund. Exhibitors will be contacted by J. Spargo, our exhibit and sponsorship sales partner, to discuss the options and process.
If we elect not to exhibit in the virtual format, will our company lose their Midyear 2020 priority points?
Yes, if your company cancels their participation, it will forfeit its priority points and the ability to participate in the Advance Space Selection for the 2021 Midyear Clinical Meeting and Exhibition, in Orlando, FL.
Will posters be included in the virtual Midyear meeting?
Yes, attendees can review poster PDFs and audio clips summarizing projects online, anytime between December 6, 2020 and March 10, 2021. Are students, residents, and fellows required to pay for the ASHP Virtual Midyear Meeting?
A. Student, Resident, and Fellow ASHP members are not required to pay for the meeting; however, they must register for the meeting.
B. Student, Resident, and Fellow ASHP non-members are required to pay and register for the meeting.
Poster presenters also have the option to purchase a 1-day registration.
Are poster presenters required to be an ASHP member?
While it is not required, we encourage poster presenters to become ASHP members if they are not.

Due to an overwhelming amount of posters received this year, we will not be able to extend the deadline as it is final.
If I did not receive a virtual portal email invitation, what should I do?
A. Check to see if your organization set-up any firewalls that would prevent unauthorized connections and foreign software from entering your network.
B. Check your spam or trash mailbox.

No, presenters are welcome to opt. out.
I cannot record my poster presentation after I’ve uploaded a PDF copy of my presentation, what should I do?
Wait a day or so to record your poster presentation.
Can a co-author present on the primary author’s behalf?
Yes, contact the primary author on your poster to obtain their login and password to virtual poster portal.
Can multiple co-authors present the poster along primary author?
Yes, please log in as an attendee 5 minutes prior to the poster session.
How can I withdraw my poster abstract after it has been submitted?
The primary author must send a withdrawal request to: firstname.lastname@example.org. Please include your full name, presentation title, and submission ID number in all correspondence.
May I retract a poster that has been published in ASHP publications?
Abstracts that have been published may only be retracted from the mobile app.
Is the ASHP logo required for poster presenters?
No, the ASHP logo is not required.

What special events are taking place during the Midyear meeting?
ASHP is planning both a must-attend Opening Session on Monday, December 7 from 11:00 a.m. - 12:30 p.m. ET and Wednesday Plenary session on Wednesday, Dec. 9 from 12:00-1:00 p.m. ET with two very special guests. Purpose and Scope
The American Society of Health-System Pharmacists (ASHP) aims to foster an inclusive community for the largest number of collaborators having the most varied and diverse backgrounds as possible. As such, this Code of Conduct was established by ASHP to communicate a set of standards and guidelines for acceptable behavior at ASHP meetings and events to provide a collegial, safe, and welcoming environment regardless of a person’s race, color, ethnicity, national origin, citizenship status, age, religion, disability status, gender, gender identity, sexual orientation, genetic information, physical appearance, or other characteristic, in which all Participants are treated with respect and dignity. ASHP expects all Participants to display the highest level of personal and professional integrity. ASHP further expects individuals to refrain from harassing speech and other harassing behavior.
This Event Code of Conduct (the “Code of Conduct”) outlines the ASHP’s expectations for all who participate in ASHP in-person and virtual meetings and events (including, sponsored events, initiatives, online webinars and trainings), as well as the potential consequences for behavior that violates this Code of Conduct. This Code of Conduct applies in all cases and covers business and social activities (including, but not limited to, chats, question and answer (Q&A) sessions, email, social media, and text messages) regardless of the venue or platform of the meeting or event. ASHP expects that all Participants in ASHP meetings and events act to ensure safe and positive experiences for all event “Participants.” This Code of Conduct defines “Participant” as anyone connected in any manner with an ASHP meeting or event, including, but not limited to, ASHP staff, ASHP volunteers, ASHP members, contractors, faculty, vendors, exhibitors, venue and platform staff, and all attendees.
PLEASE NOTE: THIS EVENT CODE OF CONDUCT IS NOT INTENDED TO, AND SHOULD NOT PREVENT OR SUPERSEDE THE CONTACTING OF, SECURITY OR LAW ENFORCEMENT PERSONNEL IN CIRCUMSTANCES THAT WOULD WARRANT SUCH ACTIONS.
ASHP expects all Participants to adhere to the following rules:
- Exercise consideration and respect in your speech and actions.
- Refrain from demeaning, discriminatory, or harassing behavior and speech.
- Promote open competition and comply with antitrust and related laws by not discussing restraints of trade, prices, pricing policies, terms and conditions of purchase or sale, costs, future company plans, boycotting of customers or products, or any other topics that might be considered anti-competitive in nature.
- Be mindful of your surroundings and of your fellow Participants. Alert the ASHP staff if you notice a dangerous situation, someone in distress, or violations of this Code of Conduct.
Unacceptable behaviors include face-to-face conduct or media/electronic postings that include or are characterized by:
- Intimidating, harassing, abusive, discriminatory, or demeaning actions or speech.
- Derogatory verbal or written comments or images related to gender, sexual orientation, sexual preference, gender identity, gender expression, marital status, race, ancestry, religion, national origin, political orientation, socioeconomic, disability or ability status, age, or other personal characteristics, including those protected by law.
- Inappropriate use of nudity and/or sexual images.
- Deliberate intimidation or stalking.
- Violating the rules and regulations of the respective online provider, as applicable.
- Sustained disruption of discussion or events.
- Unwelcome sexual attention, requests for sexual favors, or other unwelcome physical, verbal, visual or other similar conduct of a sexual nature.
- Harassing photography, recording, or electronic communications, including logging online activity for harassment purposes.
- Photographing or reproducing slides of presentations, sessions and posters without permission.
- Real or implied threat of harm or violence.
- Real or implied threat of professional or financial harm.
- Pattern of inappropriate social contact, such as requesting/assuming inappropriate levels of intimacy with others.
- “Trolling” i.e. posting inflammatory and digressive, extraneous, or off-topic messages in virtual platforms.
- Unauthorized spamming or solicitation, with the exception of personal, one-on-one communications through an ASHP-approved platform/mobile application, as applicable.
- Failure to cease unacceptable behavior when requested by a Participant or by ASHP staff.
Consequences of Unacceptable Behavior
Unacceptable behavior by any Participant will not be tolerated by ASHP. Any Participant who is asked to stop such unacceptable behavior will be expected to comply immediately. If a Participant continues to engage in unacceptable behavior, ASHP may take any lawful action it deems appropriate, including, but not limited to:
- Immediate removal or termination of access of such Participant from the meeting or event venue (whether in-person or virtual) without warning.
- Restriction from future ASHP meetings and events, as well as the imposition of a permanent ban on such individual from participation in any future ASHP events.
- Termination of ASHP membership.
If You Are the Target of Unacceptable Behavior
If you are the target of unacceptable behavior or have any other concerns related to witnessing unacceptable behavior, please contact a member of the ASHP staff immediately. In addition, and if possible, ASHP requests to be provided with the following information in writing:
- Identifying information of the individual engaging in the unacceptable behavior
- A description of the unacceptable behavior
- The approximate time and place/manner of the behavior
- Identification of any other persons involved in or witnessing the behavior
If necessary or if requested, ASHP staff will contact venue security and local law enforcement, provide escorts, and will otherwise take all steps reasonably necessary to ensure that any affected individual feels safe for the duration of the meeting or event, as applicable. If warranted, ASHP may communicate about its responses under this Code of Conduct to the employers or sponsors of involved Participants to law enforcement media and the public, as ASHP deems reasonable and appropriate.
Anyone who believes that he or she has been falsely or unfairly accused of violating this Code of Conduct should notify ASHP and provide a concise statement of grievance. All grievances will be fully investigated.
Threats or acts of retaliation against Participants who report inappropriate conduct pursuant to this Code of Conduct or provide information in connection with a report by another individual will not be tolerated. In the event you believe that you have been retaliated against for such action, you should use the above procedures to report the pertinent facts promptly. ASHP will investigate and take appropriate action in the manner described above.
This Code of Conduct is a voluntary expression of the views and intentions of ASHP with respect to harassment and other objectionable behavior. ASHP assumes no liability or responsibility for the actions of any Participant. ASHP is not responsible for protecting or assuring the well-being of any Participant. This Code of Conduct does not create or acknowledge any legal obligations for ASHP.
Virtual Meetings and Events Etiquette and Guidelines for Q&A, Chat, and General Discussions
- Do not attack others. The discussions within the Q&A, chat and general discussions within the platforms are meant to stimulate conversation not to create contention.
- Do not post commercial messages. Unless the chat is designated specifically for use by our sponsors, we ask that you contact individuals directly with product and service information if you believe it would help them. The session chat and Q&A should not be used in this manner.
- Products and services are as follows: promotional materials, special offers, job offers, product announcements, or solicitations for services.
- ASHP reserves the right, in its sole discretion, to remove such messages and potentially ban sources of those solicitations.
Use caution when discussing experiences. Information posted on any platform is available for all to see, and comments are subject to libel, slander, antitrust and other laws. Avoid discussions pertaining to politics, religion, and those including sexual content. All defamatory, abusive, profane, threatening, offensive, or illegal materials are strictly prohibited and will be removed. Do not discuss ASHP administrative/moderator actions or personal membership inquiries on online forums. Do not post anything that you would not want the world to see or that you would not anyone to know came from you. Please note carefully all items listed in the ASHP disclaimer and legal rules, particularly regarding the copyright ownership of information posted to the platform as well as to the chat and Q&A. Do not post any information or other material protected by copyright without the permission of the copyright owner. Job postings are prohibited. Remember that ASHP and other Participants have the right to reproduce postings.
Some general tips to help you maintain good etiquette when reproducing content.
- Be courteous. Please ask Participants for permission to republish their words elsewhere (especially if elsewhere would be a publicly viewable setting).
- When citing virtual meeting and event discussions, please include a link back to the original discussion or to the applicable ASHP meeting or event website.
General Virtual Etiquette
- Transparency is very important in gaining trust in online relationships. Therefore be clear about who you are and who you work for when posting on any platform. This means including your real name upon entry to the meeting room, disclosing the identity of your employer and using a profile picture of your likeness.
- Think about what you want to post and decide which platform is best for your message. ASHP is offering the chat and Q&A within the meeting platforms for specific questions about the topic presented. If you are looking to start a conversation around a broader topic area, please consider utilizing the ASHP Connect community.
ASHP reserves the right, in its sole discretion, to block any Participants who do not abide by these guidelines.
