  • Cancellations after October 8, 2026 (for exhibitors and room blocks) will incur a $75 processing fee per reservation.
  • Cancellations after November 12, 2026 (for attendees) will incur a $75 processing fee per reservation.

Hotel forms received without a valid guarantee/deposit will not be processed. Faxed/emailed requests will require a valid credit card. Check deposits must be mailed with a completed hotel form [link to form]. Check deposits must be received by October 8, 2026. If paying by check, make check payable to Orchid.Events and mail payment with hotel reservation form to ASHP/Orchid Events 6905 S. 1300 E. #220, Cottonwood Heights, UT 84047. Check should be in U.S. funds drawn on a U.S. bank. Wire transfers will not be accepted. Orchid.Events or any one of the participating hotels may charge the credit card for each room deposit in accordance with the policies and information provided herein no sooner than November 12, 2026. If the charge to the credit card is denied, the hotel reserves the right to release your reservation.

Is there special hotel information for students?
ASHP recognizes that travel can be a significant expense for students. To help make attending the meeting more accessible, we’ve secured a selection of official hotels offering some of the lowest available rates and these rooms are available for students to book now.

Take advantage of these savings and book early through ASHP’s official hotel reservation partner, Orchid.Events, to get the best rates and access to exclusive benefits.

For more details and to book your room, check out the Students section on the Hotel and Travel page today!

Is Wi-Fi free in my guest room?
If you book your hotel room through Orchid.Events, ASHP’s official hotel reservation partner, your rate includes complimentary internet access in your guest room. In addition, booking through Orchid.Events provides the following exclusive benefits:

  • No resort/destination fees
  • Complimentary fitness center access
  • Shuttle service to the Orange County Convention Center for 5 days
  • Eligible to earn hotel rewards points
  • Booking within the official ASHP hotel block for added peace of mind
  • Protection and support in the event of hotel oversell situations

Why are rooms often unavailable at the headquarters hotel only days after housing open?
ASHP announces the opening date of Midyear Clinical Meeting registration in advance, and many attendees and exhibitors plan accordingly, often marking their calendars for July when the website launches. ASHP secures the largest number of rooms possible at a wide range of hotels to accommodate different budgets and preferences. The headquarters hotel is the most in demand and typically books quickly within the first few days. Please note that hotel availability can change. As the meeting approaches, attendees and exhibitors may modify or cancel their reservations, making additional rooms available. If your preferred hotel is not initially available, we recommend selecting another option from the official hotel list and checking the Hotel and Travel page regularly for updates and newly available rooms.

My preferred hotel is sold out; what should I do?
Many hotels in the official block sell out quickly. To secure the best available rate, we recommend selecting another hotel from the list.

How do I book a group of rooms for my organization?
See the Hotel and Travel page for complete details.

Will I hear from the hotel directly after receiving my acknowledgment?
No. Your housing acknowledgment from Orchid.Events serves as your reservation confirmation, and you will not receive a separate confirmation from the hotel. Hotels typically receive reservation details a few days prior to the meeting. To review or update your reservation, access it online or contact [email protected].

What should I do if I’m contacted by another hotel or reservation company?
Do not book. Forward the information to [email protected] as soon as possible. Unauthorized companies may contact attendees and exhibitors with misleading offers and are not affiliated with ASHP, the Midyear Clinical Meeting, or Orchid.Events. Orchid.Events is the only official hotel reservation partner for the meeting, and reservations made elsewhere cannot be verified.

Why shouldn’t we reserve our hotel rooms directly with the hotel or a discount internet provider?
When attendees and exhibitors reserve rooms directly with the hotels or through internet providers, ASHP is exposed to penalties for not fulfilling our room block commitments. We risk our ability to rebook preferred meeting hotels and receive reduced rates, possibly lose qualification for the amount of space needed at the convention center, and/or are subject to higher convention center usage fees. This, in turn, could translate to higher registration fees. Additionally, reservations made outside Orchid.Events cannot be supported by ASHP if issues arise (e.g., missing reservations or hotel oversell situations), and limit our ability to plan key logistics such as shuttle service. For the best rates, protection, and support, we strongly encourage booking through Orchid.Events.

What should I do if I can’t book all nights at my preferred hotel?
You may select to be waitlisted for those nights. If you select a waitlisted reservation, currently, one or more nights of your stay are unavailable. Orchid.Events is continually working with the hotels on room inventory, and there is a high probability they will obtain additional rooms for the waitlisted nights. Should your waitlisted reservation be confirmed, you will receive a new acknowledgment within five business days from Orchid.Events. If they are unable to clear your waitlisted reservation, Orchid.Events will contact you to discuss alternative accommodations.

If you are experiencing difficulty making your reservation, you may also call 1-877-505-0675 to speak with an Orchid.Events customer care representative. Orchid.Events is open Monday through Friday 9 a.m. to 7 p.m. ET, excluding Federal Holidays.

What if I’d like to extend my stay but my dates aren’t available online?
If your preferred dates are unavailable or fall outside the official meeting dates, please call 1-877-505-0675 to speak with an Orchid.Events customer care representative. Representatives are available Monday–Friday, 9:00 a.m.–7:00 p.m. ET (excluding federal holidays).

Can I book a room at the GSA rate?
If you require the GSA per diem rate, please contact Orchid.Events directly to check availability. Customer care representatives are available Monday–Friday, 9:00 a.m.–7:00 p.m. ET (excluding federal holidays) at 1-877-505-0675.

Why was I placed in a waiting queue while booking online?
Due to high traffic on the booking site, you were placed in a temporary virtual queue. This system helps manage demand, ensure site stability, and provide a smooth booking experience.

What is the closest airport to Orange County Convention Center?
Orlando International Airport (MCO) is the primary airport serving the Orlando area. Located approximately 12 miles of the venue, the trip from the airport takes about 15 – 20 minutes by car. Orlando International is the seventh-busiest airport in the United States. Flight status, security wait times and other helpful information can be found on the Orlando International Airport’s website.

Is airport shuttle service provided by ASHP?
No, ASHP does not provide shuttle service between Orlando International Airport (MCO) and the hotels. At MCO, a variety of ground transportation options, including shared shuttles, private car services, taxis, and rideshare, are available on the Ground Transportation Level (Level 1) of each terminal. Please visit the Orlando International Airport Ground Transportation website for more information.

Are there any travel discounts?
Southwest Airlines is pleased to offer discounted fares for attendees of the ASHP Midyear Clinical Meeting and Exhibition. Please see the Hotel and Travel page for more details.

Will ASHP provide shuttle service to the Orange County Convention Center West Building?
Yes. Shuttle service will be provided from all official Midyear meeting hotels to the Orange County Convention Center West Building, with the exception of the Hyatt Regency Orlando, Rosen Centre Hotel, Days Inn Orlando Convention Center/I-Drive, and Rosen Plaza Hotel. Service will operate Saturday, December 5, through Wednesday, December 9. The official shuttle schedule will be available in October and is subject to change based on usage, traffic, local events, and weather. Please refer to the ASHP LIVE! app for the most up-to-date information.

Note: Shuttle service is not provided for morning or evening symposia, social events, or external meetings hosted by other organizations.

What other forms of transportation are available for getting to and from the hotels and convention center?

If you do not plan to use the official ASHP shuttle service and instead choose another form of transportation, rideshare services such as Lyft and Uber are available for pickup and drop-off at the Orange County Convention Center. The designated rideshare location is outside the West A Lobby, adjacent to the Rosen Centre Hotel. This area is located to the left, just beyond the ASHP shuttle pickup area, outside the Main Registration area.
